会社にかかってくる電話、3コール以内にとりましょう。
Basically, in Japanese company, we have to pick up phone calls within 3 ringings.
他の人がいない時に、代わりにとってあげることもありますね。
そんな時でも理由をすべて相手に言って言いわけではありません。
We sometimes need to pick up instead of another workmate.
Even so, it's not right to tell every detail situation happening in our company to other people.
「ただいま席を外しております。」で十分です。
Just saying " He/She is away from her desk right now..." would be totally fine.
しばらく帰ってこないことを意味したければ
if you want to imply "he/she won't come back for a while",
「打ち合わせに入っておりまして…」と
Just say "He/She is in the meeting at the moment. (Can he call you back?)"
具体的に説明しないことです。 Pls do not explain every details more than necessary for office manner.
